01Common complaints

- Company sizes or stages where this product is overkill or insufficient - Very small teams or individuals seeking a simple notes/wiki may find the learning curve and feature set disproportionate to their needs. - Industries or use cases where competitors are clearly superior - Mobile-first field operations or frontline use cases where offline-first and robust mobile capabilities are required. - Pure project management scenarios with heavy Gantt, resourcing, and portfolio needs where Smartsheet, ClickUp, or dedicated PM platforms are more purpose-built. - Technical requirements that this product cannot meet - Large-scale external indexing and extraction workflows for advanced AI/RAG use cases have been reported as more difficult to integrate compared with some alternatives; evaluate API capabilities for such use cases. - Budget constraints that make alternatives more appropriate - When many people must be Makers, total costs can approach or exceed per-seat competitors; model Maker counts and Pack usage during procurement. - Specific workflows or integrations where the product falls short - If the core requirement is a robust database application platform, Airtable may be a better match. - Red flags in the buying process - Potential confusion about which features are gated by Maker vs Editor roles and uncertainty about Pack costs; model roles and permissions early in procurement. - Current limitations acknowledged by the vendor - The vendor documents plan-based document limits such as row/object/history limits and other doc-size constraints that affect large or highly complex documents. - Features on the roadmap (not yet available) - note estimated dates if available - No authoritative public roadmap details were located in the sources reviewed; community members have requested greater roadmap transparency. - Scale limitations (at what volume/size does it break down?) - Practical limits appear in document size, sync table limits, and complexity; these are documented at a feature level in vendor documentation and should be validated against organizational usage patterns. - Security or compliance gaps - Public evidence of SOC 2 or ISO certifications for the document platform was not found in the accessible sources; enterprise buyers should request certification documents under NDA. - Technical debt or architectural limitations mentioned in reviews - Community feedback focuses on mobile and API/integration friction more than on explicit statements of technical debt. - API limitations or integration constraints - Reported challenges include difficulty extracting and navigating data via the API for certain AI use cases; Packs can mitigate some integration friction but may introduce subscription dependencies.

Deal disqualifiers: what makes a POOR fit

Teams requiring robust offline-first or heavy mobile usage
Organizations unwilling to implement governance and standards to manage document sprawl
Workloads requiring high-volume external publishing with fine-grained page-level permissions

Mixed results and documented struggles

Community posts indicate that projects can struggle when governance is weak, when a single "super maker" owns critical systems, or when mobile limitations reduce adoption.

02Why they buy

- Competitive advantages validated by customer feedback (not just vendor claims) - Reviewers and users commonly cite the platform's flexibility to construct customized documents with structured tables, formulas, buttons, and automations that support operational workflows. - The Maker-billing model is frequently referenced as providing cost advantages in organizations where a limited number of builders create documents for a larger group of collaborators. - Unique features and capabilities competitors lack - Packs marketplace model for integrations and extension of functionality with purchasable Packs targeted at Doc Makers. - Areas where competitors have advantages (balanced view) - Notion: perceived advantages in mobile experience and a larger community and template ecosystem. - Airtable: stronger positioning for database-first modeling and enterprise app workflows.

03Field reports

Review summaries and representative reviewer feedback

- Review platforms and community forums commonly highlight flexibility and customization as strengths, noting the platform enables creation of complex documents and structured solutions without requiring formal software engineering in many cases. - Commonly cited limitations include a non-trivial learning curve for advanced features and limitations in the mobile applications. - A sample of reported pros and cons across review sites: - Pros: flexibility, customization, integration options, benefits from the vendor’s maker-billing model for some organizations. - Cons: steeper learning curve for advanced functionality, mobile app feature gaps, perceived gating of some features by plan level.

Balanced ratings signal

Aggregated review ratings on major review sites show generally positive sentiment in many reviews with a range of critical feedback; individual review sites and community forums include both high-rated and low-rated experiences.

Common criticisms and complaints (support issues, bugs, missing features)

Frequently mentioned items include the learning curve for formulas and document architecture, limitations in mobile functionality, constraints in publishing/sharing granularity, and confusion about plan limits and what counts as a shared document.

Reasons customers choose the product over alternatives

Organizations that need to build document-centered mini-apps, combine document and database functionality, or centralize templates and operational processes without full software development resources often adopt this platform.
The maker-billing model can be cost-effective when a small number of builders create documents used by a larger audience of editors/viewers.

Reasons for churn or migration to competitors

Some teams migrate to alternatives due to mobile experience limitations, perceived integration difficulties for advanced extraction or AI workflows, and dissatisfaction with pricing or plan changes.

Specific outcomes reported by vendors and reviewers

Vendor case studies describe outcomes such as reduced meeting time or cost savings; these are vendor-published claims and should be validated during procurement, as attribution and methodology are not independently audited in the sources reviewed.

Detailed customer success stories with metrics

- Huge (agency) - Vendor-published claims include reported reductions in meeting time and increases in attributed revenue. These are vendor-reported and lack detailed, independently audited methodology in the publicly available summaries; attribution risk should be considered. - Qualtrics - Vendor-published claims describe cost savings through consolidation of redundant tools into a template and synchronized documents. The magnitude of savings is not independently verified in the sources reviewed.

Implementation details and time to value

Case studies emphasize use of templates, shared hubs, and linking meeting notes to task dashboards via formulas. They typically report time-to-value that varies by project complexity and the level of investment in internal governance and training.

Challenges faced during adoption and how they were resolved

Vendor stories highlight initial skepticism and adoption through internal building and demonstration of value; they do not typically document failed implementations. Community evidence suggests common adoption challenges include over-reliance on a single power user and insufficient training for broader teams.

04Best fit

Company sizes

Typical fit: small-to-mid-sized organizations and teams within larger enterprises where groups seek standardized but flexible local tooling. Also commonly adopted by departments inside large enterprises that are implementing structured workspace layers alongside enterprise controls.
