CAP2 Solutions

If an organisation requires a single platform to cover all leisure management functions and wishes to avoid integration-related risk

• CoursePro is frequently positioned as a specialist system that integrates with a primary leisure or membership platform. Organisations seeking minimal vendor count and a single-system approach may prefer a full-suite leisure platform.

If requirements depend on functionality that CoursePro explicitly does not provide

• The School Swim module does not generate invoices.
• Direct teacher-to-parent communication is not supported within the platform.

If enterprise-grade security attestations are mandatory as a procurement gate

• Public documentation of SOC2, ISO, and enterprise identity features was not found in accessible materials. Organisations for which these attestations are mandatory should confirm vendor documentation or consider vendors with published security programs.

If the organisation has very low tolerance for onboarding or support friction

• Limited independent review signals highlight onboarding and payment-integration issues; organisations with constrained internal implementation capacity should validate vendor support and implementation approach or consider vendors with stronger public support reputations or local implementation partners.

Current limitations acknowledged by the vendor (explicit)

• Teachers cannot message parents directly through the platform in certain workflows.
• Access control and capacity-management capabilities depend on integration with a membership management system and are not fully available for standalone CoursePro customers.
• The School Swim module does not generate invoices.

Limitations evidenced by independent user feedback (small sample)

• Onboarding and payment-provider coordination issues
• Communication and responsiveness concerns during implementation
• Usability concerns with online booking and login

Roadmap / features in development

• Some review-site summaries indicate functionality in development; specific roadmap items and timelines should be requested from the vendor during evaluation.

• Specialist focus on lessons and course progression tracking; product positioning and feature descriptions emphasize workflows for assessments, registers, waitlists, and parent portals.
• Ability to integrate with major leisure platforms (vendor lists integrations such as Gladstone, Legend, and others; integration claims should be validated in the context of the buyer's existing systems).
• Evidence of public-sector adoption in some local government procurements.

• Vendor marketing includes strong positioning statements and high-level performance claims; these claims should be validated through references and pre/post-implementation data during procurement.

• Only a limited sample of domain-level reviews is visible; the available items show a small sample size and recurring negative themes, including onboarding, payments integration, support access, and usability concerns. The limited sample reduces statistical confidence but highlights potential failure modes.

• A listing for CoursePro shows an aggregated rating based on a limited number of reviews; full review text and detailed sub-ratings were not retrievable in this environment for direct quotation.

• Reported metrics (for example, hours saved or percentage reductions in administrative tasks) typically lack baseline definitions, measurement methodology, and an explicit explanation of which activities were counted; these details are not visible in the vendor material excerpts.

• Request the following from the vendor and references:
  • Pre- and post-implementation process definitions
  • Implementation timeline and staffing details
  • Clarification on whether reported gains derive from product capabilities or associated process changes
  • References that procurement teams may contact for independent verification (with consent)

• Small to large leisure operators running high volumes of structured lessons (particularly children’s programmes) where administrative burden and retention/customer experience are material concerns.
• Multi-site operators where centralized programme oversight and reporting are required.

• Head of swim or learn-to-swim programme managers
• Leisure operations managers
• IT or digital transformation managers for leisure trusts
• Finance and operations leaders responsible for payments and reconciliation

• Reception and administrative teams
• Teachers and coaches (using tablet registers and assessment workflows)
• Parents and customers using the HomePortal

• Set up courses and schedules
• Enable online bookings and payments
• Manage registers and attendance
• Track participant progression and levels (commonly used for children’s learn-to-swim and similar assessed programmes)
• Automate communications (email and SMS) and reduce administrative workload

• Swim schools
• Aquatic and leisure centres
• Fitness and recreation operators running coached programmes
• Multi-site leisure operators (UK-centric footprint with international references)

• CoursePro operates as a specialist course-management layer that is often deployed alongside a broader leisure management or membership platform (for example, Legend or Gladstone) rather than replacing a full-suite leisure management system.
